Seamfix Limited (“Seamfix”) respects your privacy rights and takes its data protection obligations very seriously. The service is provided to everyone; however, persons below the age of 16 can only use the service with the consent of their parent or guardian. By using this service, you agree that you are above 18 years.

What information do we collect?

From your use of our Services/Website We collect information about you directly from you, with your consent, when you provide us with an order for your transcript or use our other services (e.g. transcript and academic documents Verification Services) and the website. You provide us with Your Information such as Matriculation Number, Email Address, Phone Number, Name, Department, Month & Year of Graduation, User’s Certificate Reference No, mailing address, credit card information and other contact details.

Registration Obligations

This service requires you to register. You will be requested to fill an online form with your personal details to create an account. You represent and warrant that all information you provide in connection with the creation of an account (“Account”) is accurate, complete and true. You agree that, if any information changes, you will update your Account to maintain accurate information. Where you provide any information that is untrue, inaccurate, or incomplete, or we have reasonable grounds to suspect that such information is untrue, inaccurate, or incomplete, it may hinder your ability to utilize our services or/and we may suspend or terminate your account and refuse any and all current or future use of all or any of the services.

Log information – We use server logs to record information that your browser sends whenever you visit our website, including your web request, Internet Protocol address, browser type, browser language, the date and time of your request. This information is used to identify and track the progress of confirmations, and to maintain an audit trail.

As any inaccurate information you submit to us might limit your ability to use our service or may affect our ability to contact you. When you notice that the information you submit to us is inaccurate, kindly contact us support@itranscript.ng to rectify your data.

What do we use your information for?

We implement a variety of security measures to maintain the safety of Your Information when you place an order or enter, submit, or access Your Information.

We use a secure server to process Your Information. User’s payment information is processed by a PCIDSS CERTIFIED payment gateway; User’s password is encrypted and stored to prevent to prevent unlawful access to Your Information. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology using HTTPS. Access to your data is only by those authorized with special access rights to our systems, and is required to keep the information confidential. Internal measures are taken to reduce information security risks and include reviews of our data collection, third-party storage and processing practices and security measures, as well as physical security measures to guard against unauthorized access.

However, we do not guarantee 100% security. We shall inform you where we notice any data breach

To provide you with these services we engage third parties that assist us with different services. For example, we use Amazon and AWS for cloud hosting and storage services

Service providers, vendors and contractors (collectively, “Service Providers”):- We may disclose Your Information to our service providers that assist us in providing the services to you. These service providers are necessary, therefore their access and use of Your Information is limited.

Disclosure to Government Authorities, Legal actions:- Your Information may be disclosed to a court or Government authority to respond to subpoenas, court orders, or other legal process; to establish or exercise our legal rights, to investigate, prevent or take action regarding illegal or suspected illegal activities or to protect our property; to protect other users, to defend ourselves against legal claims; or as otherwise required by law.

We also reserve the right to transfer Your Information in the event we sell or transfer all or a portion of our business to a different owner. Where we transfer our rights to a different partner, we shall ensure that the new owner complies with this privacy policy.

Employee, agents, affiliates, representatives:- We may disclose Your Information to our employees, representatives agents and affiliates provided that such third shall take measures to keep the information confidential and abide by this terms of service

Rights to Your Information

Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we are permitted by law.

When you make a request to exercise any of the above rights, please note that you may need to provide us with your personal information and other necessary information as requested by you. However we reserve the right to charge you or refuse your request where we notice that your request is repetitive or excessive. Your rights to erasure of Your Information does not apply to legal necessaries like invoices, audit logs, subscription information, and Your Information archived on our back-up systems which we shall securely isolate and protect the use of it from any further processing to the extent required by applicable law etc.

International transfers

When we collect your personal data, it may be processed outside of Nigeria or the UK.

We have taken appropriate steps to ensure that the personal data processed outside the UK has an essentially equivalent level of protection as it has within the UK. We do this by ensuring that:

  1. Your personal data is only processed in a country which the UK government has confirmed has an adequate level of protection; or
  2. We enter into Standard Contractual Clauses (SCCs) with the providers and ensure that supplementary measures are also applied, where necessary

The Information we retain

Your Information will be kept online for you to access it easily. We are statutorily obligated to retain the data you provide so as to comply with regulatory guidelines and laws applicable to us, our banking providers and payment card processors. Therefore, even after completion of your service request, we will retain certain data to comply with these obligations. We may retain Your Information where there is a need for legal necessaries like audit logs, payment information etc.

Controllers and Processors

You and the University are the Controllers as you decide the purpose of processing your data. We are the processors of your data.
